1.Who we are and what this policy covers
GEENA AI is provided by [preencher: razão social da empresa — LEGAL_COMPANY_NAME] (“GEENA”, “we”), [preencher: endereço da empresa — LEGAL_ADDRESS]. This policy covers our website, the GEENA app, and the booking pages and text messages GEENA runs for cleaning businesses.
We have two roles:
- For our own customers (the cleaning businesses and their team members), we decide how their account information is used.
- For the clients of those businesses, we process information on the business’s behalf, as its service provider (processor). Each business is responsible for its own clients’ information and has its own privacy page on its booking page.
2.Information about businesses that use GEENA
- Account details: name, e-mail, phone number, company name and login information (passwords are handled by our login provider and are not stored in plain text).
- Billing: payments are processed by Stripe. GEENA does not store full card numbers; we only receive details such as the card brand, last four digits, expiration date and payment status.
- Business settings: price table, services, service area, policies, team names and schedules, and other information you enter.
- Usage and device information: pages visited, actions in the app, IP address, browser type and similar technical logs, used to run and protect the service.
- Messages you send us, such as support requests.
3.Information about the clients of those businesses
When a business uses GEENA, we process information about its clients on the business’s behalf:
- Contact details: name, phone number and e-mail.
- Messages: texts, web chat and e-mails exchanged with the business, and basic call details (for example the time of a missed call).
- Booking details: service address, home details (such as size, rooms, pets), dates, notes, quotes and payment status.
- House access information (such as key location or door, gate or alarm codes) when the business chooses to save it. It is stored in a separate restricted area of the database, encrypted at rest by our database provider, visible only to the business’s owner and managers and, close to the job date, to the cleaner assigned to that job. It is never sent to the AI.
- Consent records: when and how someone agreed to receive texts or e-mails, and any opt-out (STOP).
4.How we use information
- To provide the service: answer messages, prepare quotes, book visits, organize teams, send reminders and summaries.
- To process payments and manage subscriptions.
- To provide support and to communicate with you about your account, including important service and billing notices.
- To keep the service safe, prevent fraud and abuse, and follow the law and carrier rules.
- To understand and improve the service, using information that is combined or does not identify people where possible.
- To send you product news about GEENA; you can unsubscribe at any time.
5.How the AI uses information
GEENA uses OpenAI to write messages and other text, and to read the printed text of a photo when the business asks for it (for example the total and store name of a receipt photo, or the client list in a photo of a schedule). To do that, we send OpenAI only what is needed, such as the conversation, the business’s relevant settings or that one photo. A photo is sent only after the business taps the button that asks GEENA to read it. We do not sell this information and we do not send it to OpenAI for any other purpose. What the AI reads is only a suggestion the business confirms. Prices are never created by the AI: they come from the business’s price table. House access codes are never sent to the AI.
6.Who we share information with
We do not sell personal information, and we do not share it for cross-context behavioral advertising. We share information only with:
- Service providers that help us run GEENA (listed below), under contracts that limit how they may use it.
- The business that the information belongs to (for its clients’ information).
- Authorities or others when the law requires it, or to protect the rights, safety and property of people or of GEENA.
- A buyer or successor if GEENA is part of a merger or sale, with this policy still protecting the information.
- Anyone else with your permission.
Service providers (sub-processors):
- Supabase — database, login and file storage (United States).
- Stripe — payments and subscriptions.
- Twilio — text messages, calls and phone numbers.
- Resend — e-mail delivery.
- OpenAI — AI text generation and reading the printed text of photos the business asks it to read.
- Vercel — website and app hosting.
7.Text messages (SMS)
GEENA sends text messages to business owners (for example alerts and the daily summary) and, on behalf of each business, to that business’s clients (for example replies, quotes they asked for, booking confirmations and reminders). A business may send marketing texts only to clients who opted in to receive them.
- Consent: people agree to receive texts, for example by checking the box on a booking form, by texting the business first or by asking to be texted. Consent is not a condition of purchase.
- Message frequency varies.
- Message and data rates may apply.
- Reply STOP to opt out at any time; reply START to receive messages again. Reply HELP for help.
No mobile information will be shared with third parties/affiliates for marketing/promotional purposes.
All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
See also our SMS Terms.
8.How long we keep information
We keep information while an account is active and as long as needed to provide the service. When an account is closed, the business can ask for an export for 30 days; after that we delete or anonymize its data within 90 days, except records we must keep by law or to prove compliance (such as billing records and texting consent and opt-out records).
9.How we protect information
- Data is encrypted in transit (HTTPS) and stored with providers that encrypt it at rest.
- Each business can only see its own data (access rules enforced in the database), with roles for owners, managers and cleaners.
- House access information has extra restrictions and every time it is shown it is recorded (without the codes themselves).
- Only people who need it to run or support the service can access personal information.
No system is 100% secure. If a security incident affects your information, we will notify you as the law requires.
10.Your choices and rights
Businesses can see and update most of their information in the app, and can ask us to access, correct, export or delete it by writing to [preencher: e-mail de contato — LEGAL_CONTACT_EMAIL]. You can unsubscribe from our marketing e-mails with the link in each e-mail.
If you are a client of a cleaning business that uses GEENA, please contact that business first: it controls your information. You can also write to us and we will pass your request to the business and help it respond.
11.US state privacy rights
Depending on where you live (for example California), you may have the right to:
- know what personal information we collect, use and disclose, and get a copy;
- correct inaccurate information;
- delete your information, with some legal exceptions;
- opt out of the sale or sharing of personal information (we do not sell or share it);
- limit the use of sensitive personal information (we use it only to provide the service);
- not be treated differently for using these rights.
To make a request, write to [preencher: e-mail de contato — LEGAL_CONTACT_EMAIL]. We will verify your identity before acting, and we will answer within the time the law requires (usually 45 days). You can use an authorized agent; we may ask for proof that the agent may act for you.
Categories of personal information we collect: identifiers and contact details; commercial information (plans, bookings, payments); internet or device activity; approximate location from the service address; messages; and, when a business saves it, house access information.
12.Children
GEENA is a service for businesses and is not directed to children under 13. We do not knowingly collect information from children. If you believe a child gave us information, contact us and we will delete it.
13.Where information is stored
GEENA is operated in the United States and information is stored and processed in the United States.
14.Changes to this policy
We may update this policy. We will change the “last updated” date and, for important changes, tell businesses by e-mail or in the app before they take effect.
